Hotel Policies

Reservation:

For the services contracted, some advance payment should be made to hold the booking on a confirmed basis and the balance amount can be paid either before your departure but definitely before the commencement of the services. We hold the right to decide upon the amount to be paid as an advance payment, based on the nature of services and the time left for the commencement of the services.

Mode of Payment:

By Bank transfer to our bank details. Which will be communicated to you through official e mail ID of Hotel Pine Grove or its Sister concern Misty Greens    Tour & Travels. By Online Payment Gateway system of Banks via third party transfers or through NEFT, RTGS & SWIFT.

In case of payment through credit card, the bank charges (2% extra) - would be levied over and above the total amount.

Note: All payments should be free and clear of any withholding tax and deduction. Bank charges, if any, for remittance (by remitting bank or by intermediary bank) would be strictly borne by payer.

Occupancy:

Normal occupancy is two people per room. Additional person /Child would be payable as per the Tariff charges.

Cancellation Policy:

In order to ensure that your trip is safe and enjoyable, we would like to mention the following In case of cancellation of tour/travel services due to any avoidable/unavoidable reason/s we must be informed in writing. Cancellation charges would be effective from the date we receive letter in writing/ e-mail and cancellation charges would be as follows:

  •  +30 days prior to Check In -->10% of total room charges will apply for handling fee.
  •  15 days (or less) prior to Check In -->One night retention charges + 10% handling fee.
  •  07 days & less prior to Check In or No Show --> No Refund.

 

Refund Policy:

In regard to refund of unused / unutilized services (which are paid for and cancelled in advance) the refund amount would be worked out on the basis of cancellation policy as described above and the money would be accordingly refunded to the person who has made the payment to us. Please note that the refund process may take 2 -3 weeks due to banking procedures. If the refund is made to the credit card account OR to Bank account, the bank charges would be debited from the refund amount.

Insurance Policy:

We do not have any insurance policy covering the expenses for accident, sickness, loss due to theft, or any other reasons. Visitors are advised to seek such insurance Arrangements in their home state/country. All baggage & personal property/s at all times are at the client's risk.

Check In & Check Out :

Check-InTimings: 1200 – 1500 Hours
Early arrival is subject to availability. For guaranteed early check-in, reservation needs to be made starting from the previous night.

Check-Out Timings: 10:00 - 1200 Hours
later check-outs are available on request and subject to availability.

Modification:

We require 7 days before original arrival date for the amendment request. Any modifications are subject to availability at the time you make the request. Modifications made less than 7 days before original arrival date may be liable for the change fees.

Children & Infants:

Child (up to 5 years) can stay free of charge with parents using existing beds. No free extra bed (or rollaway) and no meal is provided for a child in normal cases. The child (above 5 years), food as per the plan would be chargeable.

In case that you require the extra bed for your child (5-12 years old), the extra person's rate applies as per the room plan chosen .You will have to select "3 adults" instead of 2 adults and 1 child in the reservation form.

No Show:

If you fail to arrive at the hotel on the arrival date the entire reservation will be cancelled automatically by the hotels and you will be charged the cost of the whole reservation.

If you fail to check in on the first date but still continue your travel plan to stay at the hotel, please urgently contact us so that we can keep the room for you for the rest of the nights. Otherwise as mentioned above, the entire reservation will be auto-cancelled and no refund will be issued.

Special Request:

Please note all the requests will not be guaranteed as they are subject to availability upon your arrival to the hotel only. In case that there is an accessibility request (i.e. wheelchair accessible room), please contact us before submitting the reservation.

Voucher:

At the time the reservation is confirmed, we issue a confirmation number and voucher that you can print out. It is very important to present the confirmation voucher to the hotel upon arrival. Failure to produce the confirmation at check-in may result in the hotel not honoring your reservation or failing to trace the record.

Disputes & Jurisdiction:

All disputes arising in connection with this Agreement shall be referred to an Arbitrator to be appointed by Hotel Pine Grove, Srinagar. All such disputes shall be subject to the jurisdiction of Srinagar (J&K) Courts only. The laws shall govern the validity, interpretation, construction, performance and enforcement of these terms and conditions.
